1 SGS EMERGENCY PROCEDURES Saint George School maintains an Emergency Procedure Plan that provides detailed instructions regarding actions to be taken in the event of any emergency that may result in risk to the safety of our students or staff members. The details within the Emergency Plan are flexible and modified depending on the circumstances surrounding the emergency. In each case, the school has a response team designated to assess the situation and make decisions about what steps are to be taken, how to communicate actions to students, staff and parents, and what outside agencies are to be contacted for assistance (i.e.: local police, fire or emergency officials). The actions taken during any type of emergency depend on the situation, and flexibility is a key component. This Emergency Plan includes specific procedures that address situations, including, but not limited to, the following: I. EMERGENCY PREPAREDNESS: Saint George School has an emergency and crisis response plan that identifies steps for different kinds of emergencies. These steps differ depending on the situation, but include keeping updated contact information for students, parents and staff, evacuation and emergency procedures, designated safe areas if students need to be gathered together in a group, rally points on campus where all students and staff would be accounted for. The emergency in itself will dictate how communication is conducted. Different emergencies require different responses. Saint George School will have regular drills for those emergencies that could possibly occur during school or after-school hours. II. SCHOOL CLOSURE: If possible, notice of school closure due to bad weather or another emergency will be posted on the school s website, facebook, instagram, and/or an will be sent to parents. A sign will be posted at all school entrances for those who may have left home before having been notified of a closure. When possible and/or appropriate, the school will also use its teacher/student

2 emergency telephone tree to assist in communicating with families. The school will also contact local radio station La 91.3 FM -El Matutino de Teo Veras requesting that they announce the school closing. III. TELEPHONE TREE: When a situation arises out of school hours which is cause for school cancellation, Principals will advise Homeroom Teachers, who will in turn call Classroom Delegates, who will then inform designated parents. When the process is complete, Classroom Delegates will contact the Homeroom Teachers in order to discuss actions taken. Finally, Principals will receive information from the Homeroom Teachers. Principals will also call School Secretaries, who will call all the teachers within the Department. Upon completion of the process, Secretaries will call Principals for feedback. Principals will contact all Safety Committee Personnel assigned to review actions taken. In the event of an emergency during school hours, the school will contact Classroom Delegates to inform parents of situation, as well as using other channels of communication described below. IV. STAFF RESPONSIBILITIES DURING AN EMERGENCY: Knowledge of evacuation routes from every classroom, office or facility which are clearly marked with the correct evacuation route from any stairs leading directly to the patios. Knowledge of whistles and electronic bells used to identify which type of emergency is occurring Staff must assume responsibility of the following: - Their specific group of students

3 - Maintain control of students and manage the emergency class roster - Where each staff member should go to their designated meeting area during each type of emergency - What is the responsibility if the staff member is not with students at the time? - Location of the nearest fire extinguisher and/or emergency equipment - Encircle the younger students by utilizing adults and older students to protect and calm them. The most important responsibilities that staff must remember in a school emergency: 1. The safety of the students is the number one objective. 2. It is extremely important to remain calm and show clear understanding of the situation and not demonstrate panic. 3. Maintain the class rosters with staff at all times, pay close attention to instructions and follow them strictly. V. CAMPUS ACCESS DURING AN EMERGENCY: PARENTS/TUTORS/CHAUFEURS The most important responsibility that parents must remember in a school emergency: 1. Parents should not come to the school before checking with the official channels of communication of Saint George School, which include the official SGS Website Facebook, , and Instagram. The phone tree will also be utilized to contact as many parents as possible in the shortest period of time available.

4 2. Saint George School will post in these sites the communication indicating the nature of the emergency and the process to follow for student pick-up. 3. Saint George School asks that parents follow these established protocols to ensure the smooth movement of students and traffic during an emergency. 4. When necessary, SGS will make every effort to inform parents as soon as possible through the official channels. Do not call the school as this will tie up the communication lines with emergency services, if so required. 5. Do not attempt to communicate with students by cell phone as this will only lead to misinformation and lack of official communication. Keep cell phone lines open and available. 6. SGS calls will be brief and accurate. There will be a specific script activated for use in the various sites of communication available, including phone tree. VI. EMERGENCY PICK-UP: Children WILL NOT be released to individuals other than their parents or authorized persons, UNLESS such person presents written permission from the child's parent or the administration has had personal contact with parents authorizing the student's release. The previous refers to, but not limited to drivers, nannies/sitters/housekeepers, neighbors, friends, siblings, etc. It is essential that the school be able to keep accurate records of all children during an emergency. Thus, any child released from the school's supervision must be accounted. SGS Identification badges are required during any emergency or on-campus visit at any time. VII. EVACUATION PROCEDURES:

5 In the event that the campus would need to be evacuated, the following procedures would be in place: 1. All pedestrian gates would be closed and security posted. 2. No one will be allowed to enter. All parents or representatives will remain outside the campus at the door. 3. Student class Master Lists are to be maintained at each door. 4. Security personnel will distribute evacuation procedures and check out slips to parents and representatives. 5. All students will be accounted for using the Emergency Student list for each classroom. 6. The Evacuation Team will assume their posts at each exit door. 7. The parent or representative will complete a student check out form. 8. The student will be located and brought to the corresponding door. 9. The student s name will be checked off the Master List by the Emergency Team and the time of pick up noted on the completed form. 10. Student will be released to the parent or authorized representative. (Please refer to Emergency Pick-Up section)

6 SGS PROCEDIMIENTOS DE EMERGENCIA El Saint George School mantiene un Plan de Emergencia, el cual proporciona instrucciones detalladas sobre las acciones a tomar en caso de una emergencia que pueda resultar en un riesgo a la seguridad de nuestros alumnos y empleados. Los detalles del PLAN DE EMERGENCIA son flexibles y modificados dependiendo de las circunstancias de la emergencia. En cada caso, el colegio ha designado a un equipo responsable para evaluar la situación y tomar decisiones sobre los pasos a seguir, cómo comunicar las acciones a los alumnos, al personal y a los padres, y qué organismos externos se deberá contactar para obtener asistencia (es decir, policía local, bomberos o personal de emergencia). Las medidas tomadas durante cualquier tipo de emergencia dependen de la situación, siendo la flexibilidad un componente clave. Este plan de emergencia incluye procedimientos específicos para abordar situaciones que incluyen, pero no se limitan, a las siguientes: I. PREPARACIÓN ANTE EMERGENCIA: El Saint George School tiene un plan de respuesta para situaciones de emergencia y crisis que identifica los pasos a seguir en los diferentes tipos de emergencias. Estos pasos difieren dependiendo de la situación, pero incluyen el mantener actualizada la información de contacto de los alumnos, padres y el personal, los procedimientos de evacuación y emergencia, los lugares designados como seguros si se necesita reunir a los alumnos en un grupo, los puntos de encuentro en el campus donde se pueda hacer un conteo de todos los alumnos y el personal y cómo debe manejarse la comunicación relativa a una emergencia. II. CIERRE DEL COLEGIO: Si es posible, se publicará un anuncio en el sitio web del Saint George School sobre el cierre debido a mal tiempo u otra emergencia y un correo electrónico será enviado a los padres. También se fijará un aviso en la entrada principal del colegio para aquéllos que puedan haber

7 salido de sus casas antes de haber sido notificados del cierre. Cuando sea posible y/o apropiado, el colegio también usará su listado telefónico de emergencia de profesores/alumnos para asistir en la comunicación con las familias. El colegio también contactará la estación de radio local La 91.3-El Matutino de Teo Beras solicitando que anuncien el cierre del colegio. III. ÁRBOL TELEFÓNICO: Los Coordinadores contactarán a los Profesores Homeroom, estos a su vez llamarán a los Delegados de cada Aulas los cuales tendrán un listado de padres asignados. Cuando completen el proceso de llamadas contactarán a los Profesores Homeroom para discutir las acciones tomadas. Los Coordinadores recibirán información por parte de los Profesores Homeroom. Los Coordinadores también contactarán a las Secretarias; estas tendrán el listado de Profesores a contactar. Los Coordinadores recibirán retroalimentación sobre el proceso iniciado. Los Coordinadores se pondrán en contacto con el personal del Comité de Emergencia asignado para revisar las acciones realizadas. IV. RESPONSABILIDADES DEL PERSONAL ANTE UNA EMERGENCIA: Conocimiento de las rutas de evacuación desde cada aula, oficina u otra area que están claramente marcadas desde cualquiera de los escalones que llevan al patio. Conocimiento de los pitos y campanas usadas para identificar el tipo de emergencia El personal debe asumir responsabilidad de lo siguiente: - Su grupo específico de estudiantes - Mantener control de los estudiantes y manejar el listado oficial de alumnos - Lugar al que cada miembro del personal debe dirigirse de acuerdo al tipo de emergencia - Su responsabilidad en caso de que no tenga a su cargo un grupo de estudiantes al momento de la emergencia. - Ubicación del extinguidor de fuego/equipo de emergencia más cercano - Rodear a los estudiantes más pequeños con los adultos y alumnos mayores para proteger y calmarles.

8 Las responsabilidades más importantes que el personal debe recordar en una emergencia son: 1. La seguridad de los alumnos es el objetivo primordial. 2. Es extremadamente importante mantener la calma, tener conocimiento claro de la situación y no mostrar pánico. 3. Mantener consigo el listado oficial de estudiantes todo el tiempo, poner atención a las instrucciones dadas y seguirlas estrictamente. V. ACCESO AL PLANTEL DURANTE UNA EMERGENCIA: PADRES/TUTORES/CHOFERES La responsabilidad más importante que los padres deben recordar durante una emergencia es: 1. Los padres no deben venir al colegio antes de revisar las informaciones colocadas en los caneles oficiales de comunicación del SGS, que incluyen nuestra página web oficial Facebook, , e Instagram. El árbol telefónico también será usado para contactar a la mayor cantidad de padres posible en un breve periodo de tiempo. 2. SGS comunicará a través de estas herramientas la naturaleza de la emergencia y el proceso a seguir para la recogida de estudiantes. 3. SGS solicita a los padres seguir estos protocolos establecidos para asegurar el movimiento fluido de alumnus y tráfico durante una emergencia. 4. De ser necesario, SGS se esforzará por informar a los padres lo más pronto possible via los canales oficiales de comunicación mencionados anteriormente. No llame al colegio ya que esto congestionará las líneas de comunicación con los servicios de emergencia. 5. No trate de comunicarse con los alumnos via celular ya que esto le desinformará debido a que las informaciones que recibirá no serán las oficiales. Mantenga las líneas telefónicas abiertas y disponibles.

9 6. Las llamadas del SGS serán breves y precisas. Habrá instrucciones específicas en los varios canales de comunicación oficiales, incluyendo el árbol telefónico. VI. RECOGIDA DE EMERGENCIA: Los alumnos no serán entregados a individuos otros que sus padres o personas previamente autorizadas, a menos que esa persona tenga una autorización escrita de los padres o que la administración haya tenido contacto con los padres para esto. Esto se refiere a, pero no limitado a choferes, nanas/personal de servicio doméstico, vecinos, amigos, hermanos, etc. Es esencial que el colegio pueda mantener un récord preciso de los alumnos durante una emergencia. Por ende, cualquier estudiante que salga de la supervisión del colegio debe ser registrado. Los carnets de identificación del SGS serán requeridos durante una emergencia. VII. PROCESO DE EVACUACION: En caso de que el plantel deba ser evacuado, los siguientes procedimientos se llevarán a cabo: 1. Todas las entradas serán cerradas y custodiadas por personal de seguridad. 2. La entrada no le será permitida a nadie. Todos los padres o personas autorizadas permanecerán fuera del plantel. 3. Los listados oficiales de alumnos estarán disponibles en cada entrada. 4. El personal de seguridad informará de los procesos de evacuación a los padres/personas autorizadas y entregará formularios de recogida. 5. Todos los alumnos serán contabilizados utilizando el listado oficial de estudiantes para cada aula. 6. El Equipo de Evacuación asumirá sus puestos en cada entrada. 7. El padre o persona autorizada deberá completar el formulario de retiro de estudiantes. 8. El estudiante será localizado y traído a la puerta correspondiente.

10 9. El nombre del estudiante será tachado de la lista oficial por el equipo de emergencia y se anotará la hora de retiro. 10. El estudiante será entregado al padre o persona autorizada. (Por favor refiérase a la sección de Recogida de Emergencia.)
