1 SUBJECT: ADMINISTATOR RESPONSIBILITIES REGARDING ACCESSING W2 S FOR YOUR TEAM MEMBERS AS WELL AS YOURSELF. PURPOSE: This document outlines the steps to take as an Administrator in Shift Solutions to successfully assist your team members with obtaining their W2 s. Spanish instructions are included. How do I logon? (Answer): Click on the W2 Access Instructions link 2. How can I look up an employee's username? (Answer): a. Go to: > Administration tab > Users link *Note: Only the Administrator and the Managers can see usernames 3. I forgot my password? (Answer): Click on Forgot Password link 4. I don t have a way to print it? Can you just do it for me? (Answer): Yes a. Go to: > Payroll tab > All W2s link b. Select what you want to Download & Print *Note: The system will bring up all. employees for your selection in PDF form and you may print the page(s) you want directly from there 1

2 Instructions for Accessing and Printing Team & Personal W2s as an ADMINISTRATOR: 1. Go to RSI Shifts by clicking on the SHIFTS tab on your RSI website: 1A. You may also go directly to the website, Please note that at the bottom of the login page, there is a link that will take you and your team members to these exact step instructions for ACTIVE & TERMINATED ACCESS TO W2s: LOGIN by TYPING your username and default password. IF YOU DO NOT REMEMBER YOUR USERNAME OR PASSWORD, SIMPLY CLICK ON "DOWNLOAD W2." YOU WILL BE TAKEN TO A LANDING PAGE WITH SECURITY QUESTIONS. ONCE YOU ANSWER THOSE PROPERLY YOU WILL BE LOGGED IN. 2. SELECT the PAYROLL TAB. 2

3 3. SELECT the ALL W2s LINK. CLICK SEND ACCESS CODE; this will send an with the Access Code to the address Shifts has stored for you in your user profile. COPY the Access Code that is in the . PASTE the Access Code into the ACCESS CODE BOX. CHOOSE.previous.tax.year CHECK the boxes next to the corresponding W2s you would like to download. SELECT DOWNLOAD SELECTED W2s. To print out any W2s for years previous to your 2016 W2, you will need Adobe Reader to open the downloaded PDF W2 file

4 4. Once the W2s are downloaded, you may open, save, and print all W2s as well as individual W2s If you have multiple units with RSI, you will need to repeat this process for each unit. ***The Access Codes are unique to each Unit and expire after 24 hours

5 SUBJECT: ACCESSING AND PRINTING YOUR W2 STATEMENT AS AN ACTIVE EMPLOYEE. PURPOSE: This document outlines the steps to take if you are an active employee trying to print out your W2 Statement. WHAT YOU LL NEED: Please have access to the following information BEFORE YOU BEGIN: 1. Your 4 digit employee number This is located at the top of your paycheck stub. If you do not have a paycheck stub, follow the directions below labeled FINDING YOUR 4 DIGIT EMPLOYEE NUMBER FIRST 2. The last 4 digits of your SSN (Social Security Number) If you do not know it, then please ask your Payroll Administrator (this is typically your manager or the owner) 3. The address listed on your paycheck stub, including the State 4. Whether you were Married or Single in.previous.tax.year 5. The month and year of your hire date Instructions for Accessing and Printing Your W2 Statement as an Active Employee: 1. As an active employee, log into Enter your username and password. IF YOU DO NOT REMEMBER YOUR USERNAME OR PASSWORD, SIMPLY CLICK ON "DOWNLOAD W2." YOU WILL BE TAKEN TO A LANDING PAGE WITH SECURITY QUESTIONS. ONCE YOU ANSWER THOSE PROPERLY YOU WILL BE LOGGED IN. 5

6 2. SELECT the PAYROLL TAB. 2A: FINDING YOUR 4 DIGIT EMPLOYEE NUMBER: ***Follow this step ONLY if you need to find your 4 digit employee number; Otherwise skip to Step 3. CLICK the Paychecks link located under the Payroll tab CHECK the box to the left of a check stub SELECT the VIEW button located at the bottom left of the screen Locate the EMP # at the top/center of the check stub It will be to the left of your SSN #. WRITE IT DOWN!! 6

7 3. Click on the W2s link under the PAYROLL TAB. ENTER your Employee Number ENTER your Social Security Number SELECT FIND ME 4. VERIFY your identity. ANSWER the 3 Verification Questions CLICK I agree after reading the terms and conditions SELECT VERIFY ME 7

8 5. View, Print & Download your W2: Once you have verified your identity, you have the option to View & Print and Download your W2s. If you have worked at multiple locations, you will need to retrieve W2s from each individual location by repeating this entire process. To print out any W2s for years previous to your 2016 W2s, you will need Adobe Reader to open the downloaded PDF W2 file View & Print Download 2016 View & Print Download If you have any questions, please contact your PAYROLL ADMINISTRATOR for the restaurant. 8

9 SUBJECT: ACCESSING AND PRINTING YOUR W2 STATEMENT AS A TERMINATED EMPLOYEE. PURPOSE: This document outlines the steps to take if you are a terminated employee trying to print out your W2 Statement. WHAT YOU LL NEED: Please have access to the following information BEFORE YOU BEGIN: 1. The name of the business(es) you worked for last year 2. The last 4 digits of your SSN (Social Security Number) If you do not know it, then please ask your Payroll Administrator (this is typically your manager or the owner) 3. The address listed on your paycheck stub, including the State 4. Whether you were Married or Single in previous.tax.year 5. The month and year of your hire date Instructions for Accessing and Printing Your W2 Statement as a Terminated Employee: 1. As a terminated employee, go to the website, and click on Download W2. 9

10 2. This will take you to a page where you will ENTER THE FOLLOWING: TYPE the Name of the Business you worked for last year. ENTER your Social Security Number ENTER your Date of Birth TYPE the Security Code (it is case sensitive) SELECT FIND ME 3. VERIFY your identity ANSWER the 3 Verification Questions CLICK I agree after reading the terms and conditions SELECT VERIFY ME 10

11 4. View, Print & Download your W2: Once you have verified your identity, you have the option to View & Print and Download your W2s. LO QUE NECESITARÁ: Por favor, tener acceso a la siguiente información ANTES DE COMENZAR. 1. Su número de empleado 4 dígitos Situado en la cima de su recibo de sueldo. SELECCIONE la PESTAÑA DE NÓMINA 2A: ENCONTRAR SU 4 DIGIT NÚMERO DE EMPLEADOS: *** Siga este paso sólo si usted necesita para encontrar su número de empleado 4 dígitos; Lo contrario, de frente al Paso 3: PULSAR el enlace de Cheques encuentra en la Pestaña de Nómina MARQUE la casilla a la izquierda de un talón de cheque SELECCIONE el botón VIEW situado en la parte inferior izquierda de la pantalla Localice el EMP # en la parte superior/centro del talón de cheque Será a la izquierda de su SSN #. Anótelo!! 13

14 3. HAGA CLIC en el enlace W2s bajo la Pestaña de Nómina. INTRODUZCA su Número de Empleado INTRODUZCA su número de Seguro Social SELECCIONE FIND ME 4. Verificar su identidad RESPONDA a las 3 preguntas de verificación HAGA CLIC en Acepto después de leer los Términos y Condiciones SELECCIONE VERIFY ME 14

15 5. Ver, Imprimir y descargar su W2: Una vez que haya verificado su identidad, usted tiene la opción de Ver e imprimir y descargar sus formularios W2. Si usted ha trabajado en múltiples lugares, tendrá que recuperar formularios W2 de cada lugar al iniciar todo este proceso de nuevo. O imprimir cualquier W2 durante años anteriores a su 2016 W2s, necesitará Adobe Reader para abrir el archivo PDF W2 descargado View V & Print 2015 View V & Print Download Download Si usted tiene alguna pregunta, por favor póngase en contacto con el administrador de la nómina de la empresa. 15
